Define the boundary first

CentralReach remains the clinical and billing system of record. A command center should not create a competing chart, duplicate protected clinical records, or make undocumented claims about native integration.

The companion layer organizes operational state: intake milestones, owners, next actions, capacity assumptions, referral attribution, executive scorecards, and exception queues.

Map systems to responsibilities

For each information domain, name the authoritative system, steward, permitted copy, update method, and reconciliation rule. A visual architecture diagram is less important than clear operational ownership.

  • Clinical documentation and treatment records: remain in the approved clinical system.
  • Billing and claims: remain in the approved billing system and workflows.
  • Operational stage and next action: managed in the command center.
  • Staffing assumptions: governed by operations and workforce leaders.
  • Executive metrics: calculated from defined, traceable sources.
  • Public demo applications: stored separately and contain no PHI.

Launch without pretending integration exists

Begin with governed workflows and test data. If data movement is manual, label it and assign reconciliation. Later connections should be designed around the supported APIs, agreements, security review, and minimum necessary data.

Do not describe a partnership, endorsement, or native integration unless one is formally established and the claim is accurate. Product copy should tell buyers exactly what exists today.

Install the management system

Software configuration is only one workstream. Define stage standards, KPI contracts, role-based queues, meeting cadence, escalation rules, training, and change ownership.

A 90-day rollout should move from discovery to configuration, pilot, training, and operating review. Success is sustained use of the new decision system—not the day the interface becomes available.
